Booking Conditions

Please read the following booking terms and conditions carefully, as they set out the terms of the contract between you and African Sunrise Safaris. These terms govern the use of our websites and services. By (a) placing an order and/or enquiry through any of our contact forms (or any other contact method), or (b) using our websites, you accept these terms and conditions. If you do not agree to all terms, please do not use our websites or services.

African Sunrise Safaris acts as an agent and not a principal under SARS VAT Interpretation Note No. 42.

Bookings

Bookings (excluding late bookings) are confirmed upon payment of a non-refundable deposit of at least 25% of the total package price, within 24 hours of booking confirmation. You will be informed at the time of booking if a different payment amount or schedule applies.

Please note: Many service providers now require 100% pre-payment within 24 hours. The full balance is due at least 9 weeks prior to departure. For bookings made within 9 weeks of departure, the total cost must be paid immediately. Failure to make payment on time may result in automatic cancellation of your booking.

Methods of Payment

We bank with First National Bank and Nedbank South Africa, and use Nedbank’s secure 3D credit card payment system (Iveri Divert). You will receive a secure payment link by email. African Sunrise Safaris and its staff will not have access to your card details. We also accept cash and EFT transfers. All payments must be made in full, with any bank charges borne by the client.

Travel Insurance

Adequate travel insurance is considered essential. Premiums must be paid at the time of booking, as coverage is not active until payment is received. African Sunrise Safaris is not liable if a client fails to take adequate insurance cover.

Air and Train Tickets

Fares and taxes are quoted based on current rates and are subject to change without notice. If the quoted fare is unavailable, we will book the next applicable fare and notify you of the cost change.

Flight and Train Travel Timings

All schedules are estimates and subject to change due to air traffic control, maintenance, weather, or other delays. We accept no liability for delays or schedule changes, regardless of cause.

Flight and Train Travel Reconfirmation

Clients must reconfirm all departure dates and times for flights and train journeys at least 72 hours before departure. This applies especially to subsequent train journeys or flights departing South Africa. African Sunrise Safaris disclaims liability for losses resulting from failure to reconfirm schedules, including missed accommodation, car hire, shuttles, or connections.

Documents

All travel vouchers will be issued 72 working hours after full payment is received. Hard copies can be arranged at your cost, though documents are usually sent via email.

Please verify all details on your travel documents upon receipt. Contact us immediately with any discrepancies. African Sunrise Safaris is not liable for any issues arising from document errors once received.

Passports, VISAs and Health

It is solely the client’s responsibility to ensure all passports and visas are current, valid, and meet travel requirements, including a minimum 6-month validity from return date. Required vaccinations and documentation for travel with minors (e.g., unabridged birth certificates) must also be obtained. Compliance with South African requirements for children under 18 is especially important.

Forced Changes to your Package

  • While we strive to deliver all booked services, changes may occur due to circumstances beyond our control. If government policies or unforeseen events (e.g., COVID-19 restrictions) prevent travel, we will reschedule your trip within a 2-year period at no penalty—if rescheduling is arranged more than 5 weeks before arrival. After that point, support will depend on individual suppliers’ policies.

Cancellation Terms

  • Cancellation more than 9 weeks before travel: 25% deposit forfeited
  • Cancellation 9–6 weeks before travel: 50% of total cost forfeited
  • Cancellation less than 6 weeks before travel: 100% of total cost forfeited

In the case of unavoidable external events (e.g., pandemic-related restrictions), we will assist with rescheduling for up to 2 years (if arranged 5+ weeks prior to arrival), subject to supplier terms. Airline bookings remain subject to the respective carriers’ terms.

Information Disclaimer

Published rates on our website or in any other materials are subject to confirmation by the respective providers and may be affected by seasonal pricing or availability. Errors can occur despite regular updates. In the event of a mistake due to technical or typographical error, African Sunrise Safaris, its staff, and website hosts will not be held liable for any direct or indirect damages.

It is critical to review all travel documents carefully before travelling. Any discrepancies must be brought to our attention immediately. African Sunrise Safaris will not be liable for losses arising from errors in documentation once they are in your possession.
